Privacy Policy

Finance Farmhand is farm bookkeeping and budgeting software. This policy explains what information we collect, why we use it, how long we keep it, and who helps us process it.

The short version: we collect what we need to run, secure, support, and improve the service. We do not sell your information or use your farm records for advertising, and we do not put third-party analytics or advertising trackers inside the authenticated app.

Who we are

financefarmhand.com is operated by Jacob Miller, doing business as Finance Farmhand ("we", "us"), in Ohio. Privacy questions and requests can be sent through the contact page.

What we collect

Account and profile information. We collect your email address and, when you choose to provide them later, your name, farm name, and phone number. Our authentication provider handles your password. We do not store passwords in plain text.

We use your phone number only for account support unless you separately agree to another use. We do not provide it to advertisers, lenders, or input suppliers.

Farm records. We store the information you enter, including income and expense entries, Schedule F categories, crop budgets, acres, equipment and land costs, grain sales, notes, and remembered import categories. This is your business data, and we use it to provide the product to you.

Statement imports. CSV statement review happens in your browser. Choosing a file does not upload or save the original statement. Only the rows you select and submit, along with any vendor/category mapping you ask us to remember, are sent to and stored by Finance Farmhand.

Payment information. If you subscribe, Stripe handles checkout and stores your card details. Finance Farmhand does not receive or store your complete card number. We keep Stripe customer and subscription identifiers, plan status, and payment-related records needed to provide and account for your subscription.

Messages you send us. If you use the contact form or ask for support, we collect the name, email address, message, and other information you choose to send so we can respond.

Public-site and technical data. On public pages, analytics and advertising tools may receive page views, referring page, approximate location, IP address, device, browser, and cookie or similar identifiers. Our hosting and security providers also process ordinary request and diagnostic information needed to deliver and protect the service.

How you found us and first-use milestones. When you first arrive, we may keep campaign tags in the link, the landing pathname, and the referring website's domain. After signup, we may ask how you heard about us. We record the first time an account reaches broad milestones such as verifying an email, adding a book entry, using a Schedule F report or Crop Planning, importing a statement, recording a grain sale, starting a trial, or subscribing. These records contain the milestone and its date, not record IDs, descriptions, categories, amounts, crops, acres, yields, prices, or statement contents.

Operational error information. We use server-side error monitoring to learn when the service fails. Before an event is sent, Finance Farmhand removes raw error messages, request data, user identifiers, provider payloads, and farm-financial values. The event is limited to a stable operation code, error type, runtime, and scrubbed code location. We do not install Sentry's browser monitoring SDK in the authenticated app.

How we use information

We use information to:

  • create and authenticate accounts;
  • store, calculate, display, export, and restore the records you ask us to manage;
  • provide subscriptions and transactional email;
  • respond to support and contact requests;
  • prevent abuse, diagnose failures, secure the service, and meet legal obligations;
  • understand broad product adoption and improve the service; and
  • measure public-site traffic and advertising effectiveness.

We do not use a farmer's books to make lending, insurance, marketing, or input recommendations about that farmer.

What we don't do

  • We do not sell or rent your personal information or farm records.
  • We do not give your farm's financial records to advertisers, lenders, insurers, or input suppliers.
  • We do not run Google Analytics, the Meta pixel, or another third-party advertising tracker inside the authenticated app. Those tags are limited to public marketing pages, signup, and the verified post-checkout page.

We may disclose information when required by law or when reasonably necessary to protect the service, our users, or another person's rights. Our infrastructure providers process information for us as described below; they are not allowed to use your farm records for their own advertising.

What we do look at

We keep an operator-only dashboard so we can tell whether the product is working. It shows:

Business and adoption counts. This includes how many accounts exist, which plan they use, where accounts came from, and how many reached broad first-use milestones.

Averages across farms. This may include figures such as average corn yield or average acres. An average is shown only after at least five separate farms have contributed to it. Smaller groups are withheld.

Account details. We can see your name, farm name, email address, phone number, plan, verification status, and whether you have begun entering records. We use this information for account support, billing, and understanding whether the product is being used.

The dashboard does not provide a per-farm view of entries, totals, acres, yields, or prices. Support is the exception: if you ask for help with particular records, we may inspect the records necessary to investigate your request.

Cookies and tracking

Necessary cookies. Session cookies keep you logged in. A preference cookie remembers your selected crop year. The app cannot work normally without these.

First-party attribution cookie. A secure, HTTP-only cookie remembers the first landing pathname, campaign tags, and referring website's domain for up to 30 days so we can connect a signup to its source. It does not contain farm records and browser scripts cannot read it.

Analytics and advertising tools on public pages. We use Google Analytics 4 and the Meta pixel to understand public-page use and whether advertising works. Google Analytics uses a first-party identifier to distinguish users and sessions and collects session, approximate location, browser, and device information. Meta receives website-visit event data through its pixel and may use cookies or similar technologies for measurement and advertising.

You can block these tools without affecting the authenticated app. Available controls include your browser's cookie settings or an ad blocker, the Google Analytics opt-out add-on, and Meta's activity settings.

Who else processes information

We use established providers to run the service. Each receives information needed for its role:

  • Vercel — website and application hosting, delivery, and operational request logs.
  • Supabase — authentication and storage of account and farm records.
  • Stripe — checkout, subscription management, payment processing, and card storage.
  • Resend — transactional and support email delivery.
  • Sentry — scrubbed server-side error monitoring.
  • Google Analytics and Meta — public-site analytics and advertising measurement only.

These providers may process information in the United States or other locations where they operate, subject to their own legal and security obligations.

How long we keep it

We keep account information, farm records, audit history, and first-use milestones while your account exists. Deleting an individual accounting entry or grain sale removes it from active financial views but retains a restore and audit record. Deleting the account removes the operation and its records from the live database.

Some deleted information may remain in encrypted or access-controlled backups until those backups expire under routine provider schedules. We retain payment and transaction records when required for tax, accounting, fraud-prevention, or legal purposes. Contact and support messages are kept while needed to manage the conversation, resolve disputes, or meet legal obligations. Diagnostic and public-site analytics data follow the retention settings of the providers listed above.

Your choices

  • See and export information. Your records are visible in the app, and the Schedule F Report exports book data as CSV. You may contact us to request a copy of other personal information we hold about you.
  • Correct information. Account details and active financial records can be corrected in the app or with our help.
  • Delete information. You may delete individual records in the app. To permanently delete your account and its operation data, send a request through the contact page.
  • Opt out of public-site tracking. Use the controls described in Cookies and tracking; the authenticated app is unaffected.

We may need to verify that a request came from the account owner before providing or deleting information. Depending on where you live, you may have additional rights to access, correct, delete, restrict, or object to processing of personal information. Contact us and we will respond as required by applicable law.

Security

We use authenticated, operation-scoped application checks and database access rules to separate one operation's records from another. Traffic is encrypted in transit, access to administrative information is restricted, and complete card details are handled by Stripe rather than Finance Farmhand.

No system is perfectly secure. If a security incident requires notice under applicable law, we will notify affected people as required.

Children

Finance Farmhand is a business tool and is not directed to children under 13. We do not knowingly collect personal information from a child under 13. If you believe a child has provided information, contact us so we can investigate and delete it when appropriate.

Changes

If our information practices change, we will update this page and the date above. We will give notice in the app or by email before a material change takes effect when appropriate.
